Logistical and Operational Learner Fund
The Logistical and Operational Costs of Hosting a Learner Fund supports community-based medical education by helping recognize and offset additional operational costs incurred by eligible community practices that host medical learners under physician supervision. These costs may include exam room usage, electronic medical record (EMR) access, information technology resources, administrative support, and other practice overhead expenses.
Physicians seeking payment through this fund must hold a faculty appointment with Memorial University’s Faculty of Medicine. Faculty appointments are verified through the appropriate discipline chair’s office or the Dean’s Office.
Eligibility and Claim Submission
Physicians must meet all of the following requirements to access funding through the Logistical and Operational Costs of Hosting a Learner Fund.
- Annual Application: Physicians must complete the Eligibility Application Form – L&O Fund annually and submit it to dmeoperationalfund@mun.ca.
- Practice Requirement: Clinical supervision must occur primarily (>50%) in a community-based clinic where the physician contributes to operational or logistical costs (e.g., overhead expenses or clerical support). Hospital-based rotations are not eligible.
- Hosting a Learner Request Form: A Hosting a Learner Request Form must be submitted to dmeoperationalfund@mun.ca for each eligible placement.
- Verification: Distributed Medical Education (DME) requires confirmation of the physician payment model (e.g., Fee-for-Service, Blended Capitation, Alternative Payment Plan, Salary, or other) and practice setup (e.g., private community-based clinic or Newfoundland and Labrador Health Services facility).

Payment Requirements
The following steps must be completed before payment can be issued:
- A summative In-Training Assessment Report (ITAR) must be submitted in One45 for the learner.
- A Hosting a Learner Request Form must be submitted to Distributed Medical Education (dmeoperationalfund@mun.ca) for the supervision period.
Funding Amounts
- $250 per week per learner to be paid to the faculty member, up to a maximum of $12,500 per year.
- Longitudinal Integrated Clerkship (LIC) placements are prorated at $25 per half-day of learner presence.
