Refund & Cancellation Policy

Grenfell Campus Extended Learning is committed to providing high‑quality learning experiences. This Refund and Cancellation Policy outlines the conditions under which participants may withdraw from courses and receive refunds, as well as circumstances in which programs may be cancelled or adjusted by the University.

Participant‑Initiated Withdrawals

Withdrawal Timelines

Full Refund:
Participants who withdraw at least 10 business days prior to the course start date are eligible for a full refund.

Partial Refund:
Participants who withdraw between 5–9 business days prior to the course start date are eligible for a 50% refund.

No Refund:
Withdrawals made fewer than 5 business days prior to the start date, or after the course has begun, are not eligible for any refund.

Method of Withdrawal

All withdrawal requests must be submitted in writing to the Extended Learning office via email. The date the request is received determines eligibility.

Course Cancellation or Changes by Grenfell Campus

Program Cancellation

Grenfell Campus Extended Learning reserves the right to cancel courses or programs due to insufficient enrollment, instructor availability issues, or unforeseen circumstances (e.g., weather events, campus closures).

In the event of cancellation, participants will receive a full refund or may choose to transfer to another available course at no additional cost.

Schedule or Instructor Changes

The campus may adjust course schedules, delivery modes, instructors, or locations when necessary. If the change significantly affects the participant’s ability to attend, they may withdraw for a full refund.

Transfers and Substitutions

Transfers
Participants may request to transfer their registration to another offering of the same course or to a different course. Transfers are allowed up to 5 business days prior to the start date, subject to space availability. Only one transfer is permitted per registration.

Substitutions
A participant may designate someone else to attend in their place. This must be arranged at least 2 business days prior to the start date. Substitutions may not be permitted for programs requiring pre‑admission screening or certification prerequisites.

Refund Processing

All refunds are issued to the original method of payment. Payments made in-person at the Bursar’s Office may take 4-6 weeks to process. Grenfell Campus is not responsible for delays caused by financial institutions.

Non‑Refundable Items

The following are non‑refundable:

  • Administrative or registration fees
  • Course materials once distributed
  • Digital products or downloadable content
  • Missed classes or portions of courses not attended by the participant

Special Circumstances

Requests for exceptions (e.g., medical issues or emergencies) may be considered on a case‑by‑case basis. Supporting documentation may be required. Approval is at the discretion of Grenfell Campus Extended Learning.
