Reporting to the Manager of Operations, Discipline of Family Medicine (DFM), and working collaboratively with the Residency Training Program Director and the Undergraduate Program Director, this position is responsible for the management of administrative support services for the Residency Training Program, the Enhanced Skills Program, and the Family Medicine Undergraduate Program. The Residency Training Program supports Family Medicine residents throughout a two‑year program delivered across five geographic streams: Eastern, Central, Western, Northern (Goose Bay), and Nunavut, as well as an International Medical Graduate (IMG) stream. This position provides leadership to administrative staff assigned to these programs, supervising four full‑time and one half‑time staff members who support the Residency Training Program.
The Enhanced Skills Program includes three branches of residency training; Emergency Medicine, Care of Underserved Populations, and Care of the Elderly and this position supervise one full‑time and one half‑time staff member supporting this program. The Undergraduate Program in Family Medicine supports curriculum and learning experiences within the Faculty of Medicine’s MD program. This position supervises one full‑time staff member who provides administrative support to the Undergraduate Program.
DUTIES
The Program Coordinator is responsible for the development and maintenance of schedules for approximately 80 residents, as well as oversight of scheduling for all medical students completing Family Medicine rotations. The position resolves scheduling conflicts and liaises with faculty, Family Medicine clinics, off‑service rotations, and Academic Program Administrators across the Eastern, Central, Western, Goose Bay, and Nunavut streams to secure appropriate clinical training experiences. The role also liaises with the Office of Distributed Medical Education (DME) to ensure housing arrangements for residents undertaking rotations outside their home site. The position oversees the evaluation processes for residents and undergraduate learners; administers the annual Canadian Residency Matching Service (CaRMS) application process; and prepares and updates CaRMS program descriptions for all streams. The Program Coordinator supervises six full‑time and two half‑time staff supporting the Residency, Enhanced Skills, and Undergraduate Programs. Additional responsibilities include assisting in the development and implementation of policies, procedures, and competency‑based curriculum; representing the programs on various committees, national organizations, and university departments; liaising with hospitals, clinics, and health‑care boards across Newfoundland and Labrador, New Brunswick, and Nunavut, as well as the College of Physicians and Surgeons of Newfoundland and Labrador and the College of Family Physicians of Canada; contributing to ongoing program assessment; coordinating national accreditation processes; providing input into annual budget preparation; serving as a liaison between residents, faculty, preceptors, and staff on program issues; developing and updating promotional materials and social media content; representing the program at meetings and conferences; providing input to update program webpages; and performing other related duties as required.
QUALIFICATIONS
Experience (3-5 years) in program management and administrative support in an academic environment; graduation from a four-year university degree program with major course work in adult education; or any equivalent combination of experience and training. Knowledge of Microsoft Office Suite and previous supervisory experience is required. Knowledge of Banner Finance, One45, Desire2Learn, SharePoint as well as experience in maintaining promotional materials would be considered assets.
SALARY $65,079 - $76,340 per annum (Non-Bargaining)
