Google Workspace Notice

You may see a message in Google Workspace (shown below) about transferring your content after graduation. It says, "Graduating soon? Keep all your emails and other files after you graduate”. 

This message is generated by Google and is not controlled by the university. 

Clicking the “Graduating Soon” notice in Gmail will safely open a prompt designed to help you back up your files and migrate your school data. It will not delete your account. The tool simply provides options to transfer your emails, photos, and Google Drive files to a personal account. 

A few details to keep in mind: 

  • Labels become folders: In Gmail, any labels you created will transfer over, but they will be neatly organized under a specific parent label in your personal account (usually labeled something like [YourSchoolEmail]@school.edu). 
  • File ownership: For Google Drive files, your personal account becomes the owner of the new copied files. If you were working on shared documents, the copies in your personal account are yours alone and will no longer be shared with classmates or teachers unless you share them again. 
  • Storage limits: Make sure your personal @gmail.com account has enough free space to hold everything. Free Google accounts come with 15 GB of space, whereas school accounts often have much more. 
  • Google Transfer does not delete or move anything out of your school account. Think of it like making a backup copy of a folder on a flash drive—the original files stay exactly where they are, untouched. 
  • Because it only copies the data, you can keep using your school email and Google Drive normally.
