AUP Handbook for Unit Heads

When beginning the AUP process, and while proceeding through, the unit head should regularly consult the AUP Handbook for Unit Heads. This Handbook provides details on the responsibilities and roles of the unit, potential areas for delays and how to mitigate the risk of delay, how best to use the data package, and provides advice regarding commonly asked questions.

Considerations for Consulting Students

Academic units should engage students in the self-study process to seek substantive feedback regarding the current situation and the direction of the unit. Units will commonly engage students in the AUP process through surveys; however, this method may not be the most effective for every unit based on their enrolment and capacity. In September 2022, the AUPC approved a document outlining AUP Considerations for Consultation with Students.

When preparing to engage with students during the self-study process, units should review this document.

Standard student survey

Academic units may wish to use student survey data to help inform sections of the self-study document. Existing survey information may already be available for standard surveys on a unit-specific level and the CIAP office can advise on this. If a unit plans to administer a new survey to collect feedback from current or past students, such surveys fall within the scope of Memorial’s policy on Institutional Surveys and require review by the Institutional Survey Oversight Committee (ISOC). The CIAP office, in collaboration with the ISOC, has developed a template student survey instrument that can be used for AUP purposes and which is designed to address the recommended topic areas of the self-study report. If your unit would like more information on this survey template or on student surveys in general, please contact the CIAP office at ciap@mun.ca.

Guide for Remote Site Visits

In July 2020, the Academic Unit Planning Committee approved a document providing guidelines to consider when planning a remote site visit. These guidelines were developed in response to disruptions caused by the Covid-19 pandemic with the goal of ensuring academic unit planning proceeds as effectively as possible.

If you are preparing a remote site visit, please review the guidelines document.

Extension Requests - Considerations

In April 2020, the Academic Unit Planning Committee approved a AUP Considerations for Extension Requests - April 2020. This document is intended to outline the potential reasons for extensions, the consequences of delays, and strategies for avoiding the need for delays during the academic unit planning process.

Accreditation and Academic Unit Planning - Considerations

In January 2022, the Academic Unit Planning Committee approved a document providing guidance for units that are required to undergo external accreditation in addition to Academic Unit Planning. This document is intended to outline the ways in which AUP processes may be aligned with accreditation, how documentation from accreditation may be used to fulfill certain AUP requirements, and highlight considerations that should be made when determining whether this approach may be appropriate for a unit.

Common data sets

The Centre for Institutional Analysis and Planning has access to common data sets which may help academic units as they proceed through the academic unit planning process. The most pertinent data sets should be provided to the academic units as they begin the academic unit planning process or as they are acquired. If your unit would like to know more information, please contact the CIAP office at ciap@mun.ca
