Employee Orientation Process

Approval Date: 0000-00-00

Effective Date: 0000-00-00

Review Date: 2021-05-01

The Vice President (Administration and Finance) through the Director of Human Resources.

To make the transition to Memorial University as smooth and as positive as possible and to ensure that the new employee is fully informed about her/his new job and her/his new workplace; to serve as a means of ensuring as good a fit as possible in the longer term; and to provide a coordinated effort for employee orientation between the Department of Human Resources (university-wide) and the individual departments (departmental and job-specific).

This program applies to new non-academic employees of Memorial University with contracts of six (6) months or more in duration, and excludes those staff for whom the University acts as employer of record (agency employees).

If desired by an academic unit or the Office of the Vice-President (Academic), any or all of the elements of this process may be integrated with orientation procedures for academic employees. A separate process is under development for academic staff.

Student employees are not governed by this process. However, departments and faculties are required to conduct appropriate job and work site orientations with new student employees. These orientation activities will be determined by the department based on the particular requirements of the work involved and other factors relevant to the student's employment. As a minimum, however, these orientation activities shall include an overview of the student's responsibilities, relevant departmental policies and procedures, and policies and procedures pertaining to workplace health and safety.

Job Specific Orientation will be conducted at the departmental level at the time the new employee commences his/her employment with Memorial University, or at the time an employee is seconded or temporarily assigned to the department from elsewhere in the university.

Overview Orientation sessions will be held three (3) times each year in September, January and May, and will be available to all university staff employees, but with a priority on accommodating new employees. The session may also be held on an ad-hoc basis at other times during the year, depending on need. The session will be facilitated and hosted by the Department of Human Resources. The Department of Human Resources will contact each session participant six (6) months after the session as a follow up.
