Procedure for Requesting Access by Non-Account Holder

Procedure

  1. A request for access must be made in writing to the Unit Head of the applicable department. A written request shall include specifics of the access being sought (i.e. access to personal emails, documents). In instances where a request is made by an external party, the request must be made by the Authorized User’s trustee, executor or administrator, which shall require documentation as proof of authority.
  2. The Unit Head will inform the appropriate Vice-President, or delegate, who will involve the University Privacy Officer as required. 
  3. If the Authorized User has provided sufficient detail of their request and appropriate approval has been documented, the University Privacy Officer will engage the Chief Information Officer to assist with gathering the requested account information.
  4. Individual access to an account will not be provided to a non-account holder. Rather, access to specific account information will be provided, based on the requisite approvals as stated herein.
  5. All appropriate records of the request should be detailed and kept by the applicable department. Such records shall include at least the following: the requesting party, authorized user associated with the account, duration of access, and any restriction placed on the access.
