Travel expense policy consultation coming

President’s Executive Council (PEC) has approved a policy proposal related to the development of a new travel policy and procedures. The intent is to combine the following policies into one travel policy for the university:  

  1. Travel – General 
  2. Travel - Familiarization Visit 
  3. Travel - Guest Lecturers and Other Official Visitors 
  4. Travel - Pre-Employment Interview 
  5. Travel - Relocation and Removal 
  6. Relocation Guidelines - Postdoctoral Fellows 
  7. Travel – Regents Policy 
  8. Travel (Chancellor) 

A working group will begin consultation in the new year to seek experiences and feedback during the early drafting phase of policy development. Consultation feedback will assist the working group to identify current policy challenges and opportunities.  

This policy review comes at a time when the university is also procuring a travel expense management system. Updating these policies and related procedures provides an opportunity to ensure the new system aligns with travel policy.  

This policy work aligns with Memorial’s commitment to address 2023 recommendations of the Auditor General’s Office, which included updating policies as well as reviewing the oversight of the travel policies.

It is anticipated that a revised policy recommendation will be submitted for approval at the June meeting of the Board of Regents.
