CONNECTING

Skype for Business
  • Use Skype for Business for chatting with co-workers. Contact the ITS Service Desk to obtain access for instant messaging.
WebEx
Virtual Private Network (VPN)
  • Memorial's VPN service allows a secure connection to Memorial's online resources. It is required to access many resources from off-campus.
  • To request the VPN service, complete the VPN request form and email it to the ITS Service Desk at help@mun.ca.
Remote Desktop
  • Remote Desktop Services, and ability to directly access office computers, is provided to those who perform critical work from their office computers by accessing University resources such as Banner, R25, and StarRez or have special software on their Memorial office computer that is critical to operations.
  • To access Remote Desktop Services, contact the ITS Service Desk at help@mun.ca.

  • Use the Off Campus Equipment Tracking Form to help track and manage equipment that is moved offsite.

INFORMATION GATHERING

Generic Forms
  • Generic forms are online forms that are ‘submit only’ (require no workflow) and can generate an email to the receiving office.
  • Can exist on www.mun.ca and are placed behind MUN login for added security.
Qualtrics
  • Qualtrics is Memorial’s enterprise survey solution. It is available to active Memorial faculty, staff, and students (with faculty/staff supervisor approval) to conduct surveys for a research or administrative purpose.
  • Highlights: cloud based service, easy to use, advanced survey features, flexible reporting and analytic capabilities, and data is stored in Canada.

INFORMATION SHARING

Document Manager
  • Document Manager is a web-based enterprise file sharing solution for sharing information in a timely manner to a group of internal and/or external users, for example, committee meeting agendas and minutes.
  • Core features include: Ability to securely share information with users inside and outside the university community/network; Accessible through MUN Login; and Offers a two-factor security option (text and/or email) for Site Collections holding confidential information.
  • Units are responsible for adding/removing users and managing the overall content.
OnBase
  • OnBase is Memorial's electronic document management solution and combines document imaging with electronic document management tools to capture, preserve, and deliver documents in digital form.
  • OnBase has many features including workflow, retention, tracking, and overall records management.
ShareBase
  • ShareBase is a cloud-based secure file sharing solution. With ShareBase, it’s easy to access and share your documents from any desktop, web browser, or mobile device with people inside – or outside – Memorial.
  • Some features of ShareBase include that it's stored in a Canadian data centre, it has strong security controls, and it has unlimited storage capacity. It's also fully integrated with OnBase and information can be shared with an unlimited number of internal and/or external users.  
Shared Drives
  • A network (shared or personal) drive is an IT-supported, authorized and managed shared drive which provides electronic storage space for authorized users.
