Step by Step

To ensure that your registration runs smoothly, and more importantly, in order for you to be actively engaged in your academic pursuits when lectures begin, we advise you to read carefully and follow the suggestions and registration instructions outlined below. It is in your best interest to have your registration finalized before lectures start. We recommend that you follow the steps described below:

Step 1: Organize your registration material

You will need the following materials to register:

1. Current Memorial Calendar - available online, at the bookstore and Cashier's Office (St. John's), or the bookstore at Grenfell Campus at a cost of $5. (A university Calendar will be supplied free to students newly admitted to the university.)

2. Access to the Internet

In addition, you may need:

4. Information on Distance Education Courses from the Distance Education, Teaching and Learning Support (DELTS) website, for vital information regarding distance courses which are offered via the World Wide Web.

5. Course Load Waiver - If you wish to register in more than the normal course load of 15 credit hours in any semester (or 6 credit hours in Intersession or Summer Session), and your academic program regulations do not require a course load of more than 15 credit hours, you will require the written permission of the dean/director of your faculty/school. In the case of Grenfell Campus, the permission of the Vice President is required. In most cases, the dean/director will be able to process the request him/herself. A signed Request for Waiver of Course Load form must be submitted to the Office of the Registrar before you will be permitted to register in all your courses. Once the Office of the Registrar has been notified of the required permission, you will be able to register for more than the normal course load.

6. Prerequisite/Co-requisite Waiver.

Step 2: Seek academic advice

The directory of advisors contains names, addresses and phone numbers of people willing to assist you with course selection.

If you are studying at Memorial for the first time and have not been interviewed by a Memorial representative, you should contact the Academic Advising Centre in St. John's or the Office of the Registrar at Grenfell Campus to speak with an academic advisor. If you have had an opportunity to speak with an representative but have since changed your intended program of study or have questions regarding the courses that were recommended, it is wise to seek additional academic advice. Students are encouraged to seek advice well in advance of registration.

If you have attended Memorial in the past and have declared a major, contact your departmental advisor or the department head/co-ordinator of your major if you need advice on course selection. Consult the directory for campus addresses and telephone numbers. If you have not declared a major, or if you wish to change your academic program, contact the Academic Advising Centre in St. John's or the Office of the Registrar in Corner Brook.

If you are completing a certificate program and you need advice on course selection, contact Lifelong Learning.

Step 3: Select your courses

Following a review of these procedures and the university Calendar and after receiving course selection advice, your next step is to select your courses. A searchable list of course offerings is available at this site containing all undergraduate courses offered for the Spring Semester.

When selecting courses, you should be aware of these class schedule terms, which appear as column headings in the class schedules and which are defined below:

In addition to these headings, course sections may also have information regarding availability, cross-lists and reserved seating.

COURSE
Under this heading appears the course subject, course number and course title. The course subject is a three- or four- character abbreviation of the subject area.

SEC
Each section or offering of a course has a three-digit section number associated with it.

CRN (Course Reference Number)
Under this heading, each course will be identified by a five-digit course reference number that must be used when registering by Memorial Self-Service. This number has no inherent significance and may change for each course from semester to semester.

SLOT(S)
Most course sections have been assigned a specific time slot in which the class will meet. These are indicated on the class schedule as well as on the timetables.

Time slot 99 refers to a time slot different from normal. Course sections assigned this time slot are either offered through distance education or will meet at times determined by the academic unit. You should contact the academic unit for details before attempting to schedule any other course, since these classes often meet at irregular times and may pose scheduling problems.

The registration system will warn you if you have registered or wait-listed for a course that will cause a timetable clash. However, neither the system nor the academic unit can correct or prevent the clash, and the academic unit may not be able to help you. Therefore, planning a conflict-free schedule is a critical step in your registration procedure. Please check and re-check your course selections before attempting to register.

DAYS, BEG TIME, END TIME
The days of the week are abbreviated as:

M - Monday

F - Friday

T - Tuesday

S - Saturday

W - Wednesday

U - Sunday

R - Thursday


BEG TIME refers to the starting time of the course section following the 24-hour clock;
END TIME refers to the time the section finishes meeting.

ROOM
This refers to the building and room where the course section will meet. If you are unfamiliar with any of Memorial's building abbreviations, check out our list of codes.

Distance Education Course Information Letters and notification of term tests and final exam dates, times and locations are available through the Distance Education menu in Memorial Self-Service. This information is not mailed to students. Students are advised to visit the Distance Education section of Memorial Self-Service immediately upon registration for essential course information, and periodically throughout the semester for information on exams.

Memorial has a learning management system, Desire2Learn, for all distance students and on-campus students who have registered for a course that will feature a web-based component. Increasingly, courses delivered on campus will supplement face-to-face teaching with web-based tools to share course notes, have discussion forums, etc. To access your course, visit the DELTS website, and click on the "Log On To Your Web Course" link. If you need help on campus to set up your account, you can visit the Commons in the QEll Library.

 

ASSOC LAB/LEC SECT (Associated Laboratory/Lecture Sections)
Course sections with schedule type, L&L - both lecture and laboratory, will have the laboratory and lecture combined. For example, Biology 1001, section 001 lists meeting times of 1200-1250 on M, W, F and 1400-1659 on M where the three-hour time block refers to the laboratory.

However, some courses have associated laboratory sections which are listed separately. For example, Mathematics 2000 has two laboratory sections associated with it. For such courses you must register for the laboratory as well as the lecture section and you must do both during the same registration session. Otherwise you will be automatically dropped from the course.

Students at Grenfell Campus who wish to register in several laboratory courses and who have conflicting laboratories should consult with the Office of the Registrar at Grenfell Campus for assistance.

 

ACCS
This heading indicates whether the course is available for registration using Memorial Self-Service and how requests to drop and add the course will be accommodated. There are two columns under this heading; the first refers to the time period before the deactivation of wait lists; the second refers to the period after wait list are deactivated, April 25. The following table shows the possible values:

If a course has an associated "D" or "N" entry then the academic unit concerned has direct control over adding the course. If you wish to register in such a course you must obtain the written permission of the head of the appropriate academic unit and of the instructor on a course change form. This form is available at the Office of the Registrar and here, as a downloadable pdf file. Once completed, it must be validated by the Office of the Registrar.

To avoid lineups and unnecessary paperwork, please use Memorial Self-Service whenever possible to drop courses.

WAIT LIST
This heading indicates whether you can wait-list a course section if the enrolment limit has been reached or if the course section is reserved. A "Y" under this heading indicates a wait list is available. "N" means no wait list is available. If a course is reserved and if reserves are to be lifted, a reserve wait list and a general wait list are maintained. Memorial Self-Service will inform you of your position on both wait lists when you try to add such courses before reserves are lifted. The following scenario illustrates how the wait list feature works:

You are a Biology major, trying to register for Chemistry 2440. Memorial Self-Service gives your reserve wait list position as number one and your general wait list position as number ten. Before reserves are lifted, you will become registered if one Biology major drops the course. After reserves are lifted, on April 2, ten students must drop the course before you will become registered.


Up until you become registered in your maximum course load the registration system will permit you to be registered and wait-listed in a maximum of 21 credit hours. If you become registered in one course section, other wait-listed sections of that course will be dropped. Also, your wait lists will become inactive once you become registered in the maximum number of credit hours required by your program.

Some academic units have placed limits on the lengths of wait lists. Therefore, if a wait list for a particular course section is full, you will not be permitted to wait list for the course.

PRE CHK (Prerequisite/Co-requisite Check)
A "Y" value under this heading indicates that the department has requested that all prerequisites and/or co-requisites listed in the university Calendar be enforced.

A prerequisite course is a required course that must be completed before you begin classes in another course. For example, in order to register in Biology 1002, you are required to have first completed Biology 1001.

A co-requisite course is a required course that may be taken at the same time as another course. For example, the co-requisite for Nursing 1003 is Nursing 1004; therefore you must register for Nursing 1004 before you will be able to register for Nursing 1003 Similarly, if you drop Nursing 1004, Nursing 1003 will be automatically dropped from your schedule at the end of the registration session.

If you wish to register in a course for which a prerequisite or co-requisite exists, and if you do not meet the requirement, you may wish to contact the appropriate department head to request a waiver. You should do this before your assigned time of registration. Please note that any such waiver is valid only for one semester.

RESV LFTD (Reserved Seating Lifted)
Information under this heading relates specifically to course sections where priority in registration has been established by academic units. A "Y" value under this heading indicates that reserved seating for the course section will be lifted after the close of the registration system on April 2. For further information, refer to the Wait List and Reserved Seating sections of these procedures.

 

ATTR (Course Attribute)
This column may contain one or more of the following entries:

L

limited enrolment; students must confirm their registration either by attending at least one of the first three hours of lectures and the first meeting of any laboratory section for the course, or by notifying the department in writing within the first five working days of the semester. Students who do not confirm their registration may be dropped from the course automatically.

R

    INSTRUCTOR
    This heading refers to the instructor(s) assigned to teaching the course section, as of the time of publication. Check the course offerings at this site for the most up-to-date information or with individual academic units if instructors are not listed.

    CRED HR
    This column lists the credit hours associated with the course; for most courses this value will be 3 but some courses, such as Music 1118, have a credit hour value of 1.

    BILL HR
    This column indicates the hours assigned to a course for the purpose of tuition calculation. For most courses, the billing hour value will be the same as the credit hour value. However, there are exceptions, such as Math 102F which has a credit hour value of 0 and a billing hour value of 3. In cases where courses have been assigned a flat fee, such as co-operative work terms, N/A will appear in this column.

    ADDITIONAL COURSE INFORMATION

    AVAILABILITY
    Some course sections will be available only to students in particular professional terms or with a particular classification. For example, ENGR 4723 section 001 has indicated
    AVAILABLE TO: E4.
    This means that this course section is available only to students in Engineering Academic Term 4. Check for Classification Codes (including Professional Term codes).

    CROSS LIST
    When two or more courses offered by different departments are equivalent, they are referred to as being cross-listed. Cross-listed courses are identified in the course offerings and in the university Calendar in departmental course description sections.

    If you attempt to register for a course section that is cross-listed and the section is full, check the cross-listed course to see if space is available in that section. Cross-listed courses are taught in the same time slot and in the same room, by the same instructor.

    RESERVED SEATING
    Priority in registration in many courses will be given to students who meet specified programs of study, such as admission to a degree (including diploma and certificate) program, major and minor/concentration. This will be indicated on a line below the course listing. For example under COMP 2650 you may see:
    RESERVED FOR: MAJOR BDIE BIOC BIOL etc.
    This means that students who have declared majors in dietetics, or biochemistry, or biology, etc., will be given priority in registering for this course.

    If you see

    the course will be reserved for students who have declared a major in anthropology and a minor in English.

    If you see
    DEGREE: BSH

    Please note that reserves may vary according to course section. You should check all sections of a course to determine if you are eligible to register for it. In addition, it may be that not all spaces have been reserved, which means that an attempt to register could be successful.

    When you are satisfied that your planned schedule is complete and free of slot clashes, you are ready to register.

    Step 4: Register by Memorial Self-Service

    Most features of Memorial Self-Service are available Sunday to Friday, 5 a.m. to midnight Newfoundland time for most weeks of the year. Registration for the 2012 Spring Semester begins on March 26 and the systems are available for registration and changes to your registration until July 19, with the exception of April 26.

    The Registration Help Line at 864-4445 is available to answer your registration questions Monday to Friday, from 9 a.m. to 5 p.m. until June 1; 9 a.m. to 4:30 p.m. beginning June 4, or you can e-mail reghelp@mun.ca for prompt assistance during these hours and next-day response if you email after regular hours.

    If you do not have web access for a prolonged time during the registration period, and cannot ask a trusted family member or friend to register on your behalf, an alternative mail-in registration is available. This Alternate Registration Form is available here as a pdf file, or in printed form from the Office of the Registrar. It is your responsibility to ensure the form is received at the Office of the Regiitrar, Memorial University of Newfoundland, St. John's, NL, Canada ,A1C 5S7, by your assigned registration date, but in no case later than May 7.

    Step 5: Pay your fees

    Tuition fees and all other fees are due upon registration. This includes the fees for the upcoming semester, and any outstanding fees from previous semesters. Once you register for courses you are financially liable for them unless you drop them by the appropriate deadlines.

    A. Tuition Fees

    1) Students who have coverage similar to the Student Health Plan/Dental Plan may opt out of the plan(s) by completing the required forms at the MUNSU office and by providing proof of existing coverage. This proof of alternate coverage must be in the form of a plan membership card, a photocopy of the existing policy, or a letter from an employer confirming existing coverage. Acceptable proof will include all of the following:

    • the name of the company providing the coverage;
    • the policy number; and
    • to opt out of the dental plan, specific illustration of existing dental coverage.

    The opt-out deadline is two weeks after the first day of lectures. Students who opt out of the health plan in September will automatically be opted out for the remainder of the academic year.

    2) Coverage under the Student Health and Dental Plans is on the basis of an academic year. Students who enrol in the plan for the fall and winter semesters will be covered for the period September to August. Students not meeting these criteria should check with MUNSU for their status in the health and dental plans.

    1) Students who have coverage similar to the Student Health Plan/Dental Plan may opt out of the plan(s) online by selecting the Student Health and Dental Opt Out at Quick Links on the Grenfell Campus main page. Students are required to enter proof of existing coverage. Once an opt-out process is completed, students are then ineligible to become plan members in future semesters unless they provide proof that they are no longer covered under their alternate plan(s).

    The opt-out deadline is two weeks after the first day of lectures. Students who opt out of the plans in September will automatically be opted out for as long as they are full-time students at Grenfell Campus. Please note that if a student transfers to and/or attends any other University or College campus including Memorial’s other campuses, s/he is required to re-submit an opt-out application; if a student becomes a part-time student, s/he is required to re-submit an opt-out application upon becoming a full-time student again.     2) Coverage under the plans is: Students who enrol in the plan(s) for the fall and winter semesters will be covered for the period September 1 to August 31. Students who enrol in the plan(s) for the winter semester will be covered for the period January 1 to June 30.

    3) All Grenfell Campus registered international students are automatically enrolled in an emergency health insurance plan administered by Student Affairs and Servioces. However, you may meet eligibility requirememnts to opt out of the mandatory plan and into our supplementary Canadian helath and dental insurance plan provided by the GCSU. Please visit Student Services upon your arrival for more information.

    (ii) Late Registration Fee
    You are permitted to register after your registration time subject to availability of courses and other conditions. However, the last day to register without incurring late registration fees is May 4 for 14-week Spring Semester courses and Intersession courses, and June 22 for Summer Session courses.
    When applicable, the late registration fee of $20 will be charged. In certain circumstances, an additional fee of $10 may be charged for every day beyond the deadline that you register.

    (iii) Late Payment Fee
    The last day to pay for spring semester courses without incurring the late payment penalty is May 7. For courses which are added after May 7 you must pay within 48 hours to avoid a late payment charge.

    B. Methods of Payment

    Memorial University offers students a variety of payment methods, each described in detail below.

    CASH/DEBIT CARD - Must be paid in person at the Cashier's Office in St. John's or the Bursar's Office in Corner Brook. Do not mail cash.

    CHEQUE - may be mailed or delivered in person to the Cashier's Office in St. John's or Bursar's Office in Corner Brook, OR placed in the night deposit slot at the Cashier's Office in St. John's.

    If you are using a cheque to pay fees you are strongly encouraged to mail it to avoid line-ups at the Cashier's and Bursar's offices. You may post-date the cheque to May 7.

    CREDIT CARD - You must use Memorial Self-Service. Ensure your payment is received by May 97 Because Memorial Self-Service uses state-of-the art encryption technology to ensure the security of your data you might experience difficulty using older browsers. If you do not have a current browser or are uncomfortable using a credit card on the Internet, credit card payments can be made in person at the Cashier's Office in St. John's or the Bursar's Office in Corner Brook.

    TELEPHONE or ONLINE BANKING - Customers of most major Canaian Chartered Banks who have access to the banks' telephone or online banking systems can pay their fees up to and including May 7 using this service. Further information on the use of this banking system can be obtained from your local branch.

    TUITION VOUCHER - If you are receiving a tuition voucher, it must be presented at the Cashier's Office in St. John's or the Bursar's Office at Grenfell Campus by May 7, to avoid a late payment penalty. Any remaining fees not covered by the tuition voucher must also be paid by May 7.

    STUDENT AID - Student loan documents are verified and signed electronically. They will have the amount due to Memorial University, if any, noted on Instructions to Lender section. If you do not want your fees deducted from your loan you must pay by one of the other methods by May 2. Please note that if you pay by another method after this date, your tuition will still be deducted from your loan and your other payment will be refunded.

    At the St. John's Campus, for those students who are registered as full-time students effective May 2, approved certificates of eligibility for the new Canada-Newfoundland and Labrador Student Loans Program will be available for pickup and processing on May 7 and 8 from 9 a.m. to 4:30 p.m. at The Landing, UC3018. After these dates, loans can be picked up at Answers, UC3005.

    At the Grenfell Campus campus, student loans will be distributed from the Bursar's Office as of 9 a.m. on May 7.

    Students who pick up their loans must present a valid photo ID issued in Canada by the federal or a provincial or territorial government such as a valid driver’s license, passport, provincial health card with a photo or a permanent residency or citizenship card

    Collect your loan at a time when you do not have a scheduled class.

    Students who are on work placements or doing their courses by Distance Education and can not pick up their student loan during regular office hours can request to have their student loan sent in the mail. Students can avail of this service through Memorial Self-Service under the Financial Information Section to complete the mail-out form.

    If you are a student at Memorial University receiving a student loan from a province other than Newfoundland and Labrador, you can finalize necessary documents and pick up your loan at the Smallwood Centre, UC4018. Students from the who are interested in applying for U.S. Student Aid should contact the International Scholarships Coordinator at at (709)864-6167, University Centre, UC4018.     Remember, students with outstanding fees after May 7 will be assessed a late payment penalty.
