Draft Approval

Step 6. The Sponsor (or designate, which may be an individual, a committee or committees) conducts the necessary research and consultation (collecting and recording evidence of the consultation) for the policy; drafts the policy text; using the Policy Statement Template. This draft is used and refined during the consultation phases. Refinements are made based on research and feedback received during consultation. While the consultation must consider and integrate the needs of users, the policy statement must not overlap or contradict existing policy and collective agreements and it must be legislation compliant. As well, the policy must be remain consistent with the University’s mission and values.


Step 7. Once the policy statement is written the Sponsor writes the implementation plan; writes the communications plan and completes the Policy Development Report .


Step 8. The Sponsor submits the completed Policy Development Report and the Policy Statement to the Senior Executive Committee, who then forwards it, with any comments, to the Policy Oversight Committee.


Step 9. The Policy Oversight Committee forwards the documents to any relevant committees of the Board for initial approval.


Step 10. The Board makes a decision.


Step 11. If approved by the Board, the Sponsor (or designate(s)) communicates the policy as described in the communications plan, follows the implementation plan including training, systems development, development and introduction of new procedures, programs, staff, equipment, etc.
