Week Update - 11/21/12

Status for this reporting period: (15 days until Go Live)

  • Managing Gross and Net variance. We expect to balance these this week.
  • While final validation and verification is needed for Go Live, the Department of Human Resources has approved our cutover to Production on December 8th and 9th. If final Go Live is approved of December 9th, Banner HR will be live in Production on Monday, December 10th.

Week Update - 11/10/12

Status for this reporting period: (29 days until Go Live)

  • This week, the bulk of our time was spent preparing our conversion database for the parallel payroll that we will run in two weeks.
  • The Nov 12 parallel payroll will be our last test parallel payroll before we begin our production transition in December. An executive meeting will be held after the results of this test to decide on a Go/No Go decision in December.
  • A presentation to the Steering Committee was made on Friday, November 11 to discuss, primarily, the variances from our last parallel payroll. It was explained that the team attributed the bulk of the variance to:
    • The large amount of manual time entry, contributing to errors in the payroll
    • The number of exceptions that are currently in the Memorial payroll
    • Errors already present in the current system were brought into Banner during conversion
    • Time frame from conversion to parallel test was too long
  • We hope to mitigate these problems by testing against the data from an October 26 payroll run; most of the manual entries would have already been captured in iTrust, and will be subsequently converted.

Training

This week, training was run for Human Resources that focused on:

  • advanced payroll topics
  • leave management

Additional training is being scheduled for additional HR staff on Banner HR fundamentals, the Managers of Finance and Admin and department time entry.

 

Week Update - 10/19/12

Status for this reporting period: (39 days until Go Live)

This week, the bulk of our time was spent preparing for the parallel payroll that we will run next week. At that time, we will be running the B1 (salaried) and B2 (hourly) payrolls.

Issue: The project team is encountering a large number of exceptions and errors that are causing issues as we prepare for our payroll next week. We have recruited extra staff to help mitigate. We also expect challenges because of this as we begin our parallel against current production HR data.

Oct 22 and Nov 12

  • Our original date to run a parallel was Oct 15, but due to an excessive amount of exception time and deduction changes that had to be entered manually, we pushed this parallel out a week. Note, this move was not made due to major errors in our build or conversion setup. (we were able to start the parallel payroll today – Friday, October 19).
  • The Nov 12 parallel payroll will be our last test parallel payroll before we begin our production transition in December. The results of the Oct 15 parallel will be a good indicator for what challenges we face.

Training

  • This week, training was conducted for Grenfell Campus , Faculty Relations and the Provost Office. It focused on foundational payroll topics, and for the Academic teams, we conducted training on the PEAFACT form. This form is used track four different types of faculty actions – promotion, tenure, reappointments and leaves.

 

Week Update - 10/04/12

Status for this reporting period: (49 days until Go Live)

Our time is running short, but the project remains strong and much of our success is dependent on our two future parallel payrolls:

Oct 15 and Nov 12

  • To meet the Oct 15 date, there has been additional work done to enter time into Banner HR that was not part of the conversion process.
  • During the week of Oct 8th, we will be running additional tests on the M1 (Pensioner) payroll and spot checking a variety of employees.
  • The Job Evaluation system has been completed. During initial testing two minor bugs were recorded. One remains, but another round of testing with HR has begun.

Training

  • Training has begun and we started with HR Payroll staff for two dedicated days for payroll training. It focused on foundational payroll topics. Training was well received and we will be holding an advanced payroll session during the week of Oct 29th.
  • Admin Managers will be contacted for a list of people who use the HR system today so we can train them on Banner HR.
  • Grenfell has been contacted to start a training plan.
  • A web time entry plan has been started with a focus, for the initial rollout, of volume. We’ll train The Works, Facilities Management, as well as Grenfell campus.

 

Week Update - 09/07/12

Status for this reporting period: (68 days until Go Live)

In summary, we have been very busy in our preparation for our first parallel payroll next week with ellucian starting September 10th.

This is our first major milestone of the project and our goal for this session is:

  • Fix the majority of errors found in data verification
  • Validation (balance) of sample populations between iTrust and Banner HR, This is not intended to validate the balance between iTrust and Banner HR.
  • 80% complete

In addition to this work, we will use this payroll to send a test payroll to the Royal Bank from Banner HR, test the hard-copy cheque process and run a test feed to Banner Finance.

  • Also completed this week is a first draft of our training plan. We will use this as the template for Banner HR training for all necessary stakeholders.

 

Week Update - 08/31/12

Focus:

The last two weeks have focused on cleaning up our data since our data validation session with Ellucian from August 6 to August 10. We are making very good progress with this effort and will meet with Ellucian on Wednesday, September 5th to consult on outstanding problems. Our goals are the following:

  • September 10, 2012
    Goals:
    • Fix majority of errors found in verification
    • NOT validation of balance between iTrust and Banner HR
    • Validation (balance) of sample populations between iTrust and Banner HR
    • 80% complete
  • October 1st, or 8th, 2012
    Goals:
    • • Fix all errors found in September 10th parallel payroll
    • • Validation of balance between iTrust and Banner HR
    • • 90%-95% complete
  • November 13th, 2012: (FINAL PARALLEL PAYROLL)
    Goals:
    • Fix any errors found in October parallel payroll
    • Validation of balance between iTrust and Banner HR
    • 100% complete

Week Update - 08/10/12

Focus:

Education and Training

The next scheduled session with Ellucian is very important and focuses on testing and validating data conversation.

  • Validation is a bit of a misnomer here as we are not complete, but are validating how the forms in Banner HR have been populated and if they have been populated with the right type of data.
  • We will also continue testing using our actual data and run test payrolls against it.
  • We will learn what should be fixed in the scripts used to populate our database.

Data Conversion

  • We have run all of our data conversion scripts and worked through any errors that we have found.
  • The data base is now populated with Memorial records from the current HR system.
  • Known changes will require additional data conversion work –
    • The new process to manage non-labour accounts will require a change for the data conversion team – approximately 1 week.
    • A reduction in the number of position classes at Memorial from over 2000 to approximately 400 will not require changes to data conversion, but will require testing and validation.
  • Data conversion is on track for our first parallel payroll on September 10th.

  • Our job evaluation build is on track and will be completed and available for testing at the end of August.
  • Additional testing continued using our Test 100 population.


Week Update - 07/20/12

Focus:

Training and Development

  • A two-day workshop with a Finance consultant to work through some issues with how Banner HR and Banner Finance interact took place on July 17th and 18th. It was very successful for both HR and FAS. Key outcomes were:
    • Our current payroll process can still be accommodated.
    • The fiscal year end split was reviewed and there were no impacts to HR or FAS.
    • Non-labour accounts: A resolution to manage non labour and liability accounts was agreed to by HR and FAS. A smaller sub-team from HR and FAS was put together to begin to put the system infrastructure in place.
    There were no other Banner HR <> Banner Finance dependencies that the project team needed to be aware of.
  • The Fiscal year Roll, Salary Table Roll, Creating Working Budgets and the Feed to Budget Development was reviewed and implemented in our Build database.
  • We successfully tested and ran feeds to Banner Finance.

For the rest of the week (3 days), we worked with our HR consultant to resolve issues that were encountered with our Test 100 population.

Outcomes include: 

  • Resolved: EI Insurable Hours (How to reduce when used with an earnings that reduces base salary)
  • Resolved: Rounding issues with EI contribution
  • Resolved: The process for setting up a part-time employee who is in a class with a default of full-time
  • Resolved: The process for setting up an apprentice


Week Update - 07/13/12

Focus:

Education and Training

Two sessions are scheduled with Ellucian next week:

  • One is additional testing to work through some problems our team is experiencing with our Banner HR build.
  • One is scheduled to work with Ellucian consultants and resolve some Banner Finance <> Banner HR dependencies.
  • Agendas have been sent to required attendees.

Data Conversion

  • We have created a new conversion environment that will incorporate the HR rules and validation tables with our converted data. The data conversion team is now running scripts and working through any issues found to populate the database.
  • During the week of 8/7/2012, we will begin Testing Phase III and Data Conversion Verification. Our data (and environment) will be ready to conduct this session, as planned.
  • A Remote Conversion Support session with Ellucian was scheduled for the week of 7/30/2012, but this session was cancelled as it was determined that it wasn’t required.

Banner Communications

  • Our Banner Communications plan, showing our proposed activities from Aug. 2012 – Jan. 2013, will be completed next week.
  • Focus now has shifted to creating the web demo and documentation supporting web and department time entry. This will be located on the Banner HR site.
  • The Banner HR website went live on Wednesday, July 11th and links to it were activated from the HR and C&C websites. It was officially announced on today@mun and scheduled for Newsline.

Banner HR Build

  • Additional testing has been completed using our Test 100 population (our varied sample of data). Issues have been found with EI Insurable Hours and rounding issues with EI contributions that we will work through next week with our consultant.
  • The development of our Job Evaluation system continues and is on track to begin testing by 08-17-12.



Week Update - 07/06/12

Focus:

Training and Implementation

  • Testing continues with our Test 100 data. There has been one issue uncovered with the EI contribution amounts for employees who reach the maximum in the pay period. This issue is being worked on with our Ellucian consultant.
  • A three-day workshop with a Finance consultant to work through some issues with how Banner HR and Banner Finance is being scheduled for the week of July 16th. An internal meeting established an agenda of the following:
    • The ‘Canadian Topics” training and validation will take place the week of July 16th. During this session, we will validate the Canadian-specific modifications required for Banner HR.

Development

  • All Banner HR base data has been converted in the conversion database. We are currently creating a new environment to test the converted data with our HR-based rules and validation.
  • Academic data has five tables that need to be converted. Three tables are complete and in the conversion database, all extracts have been completed.
