Office of the Associate Vice President (Facilities)

ADMINISTRATIVE COORDINATOR
(One Year Contractual Position)

DUTIES
The successful applicant will perform administrative duties, which require discretion, initiative and judgment in the proactive support of the Office of the Associate Vice President (Facilities). Responsibilities include: assisting with writing reports, briefing notes and presentations and compiling relevant information; maintaining the official records on various initiatives and generating related status reports; monitoring the status of outstanding correspondence as well as following up on action items and meeting outcomes; supporting the development and maintenance of the office's records management system; responding to email for the Office of the AVP as needed; liaising directly with executive offices, senior administrators, unit heads within the university and staff in Facilities Management; assisting with ATIPP requests; acting as recording secretary for various committees including arranging and participating in meetings as required, taking minutes of the meetings, and ensuring required follow-up is conducted; responding proactively in person, by telephone or correspondence to enquiries; maintaining confidential files, filing systems and databases; supporting various projects including coordination of the day to day logistics, scheduling, communications regarding services provided and financial reporting; performing other related duties as required.

QUALIFICATIONS
Experience (up to 3 years) in administrative work; graduation with a university degree in business administration or public sector administration or any equivalent combination of experience and training. Experience reading and reporting financial information, working with Microsoft Office (Access, PowerPoint, Excel, and Word), and information management systems; aptitude and willingness to learn new software programs; and strong organizational, written and oral communication skills are required.  Ability to work independently or as part of a team is essential. Knowledge of board governance and Memorial University's policies would be considered assets.

 

 

SALARY                                   $42,585 - $59,717 per annum (Non-Bargaining)
