Memorial University of Newfoundland Biology Society

Article 1. Name, Purpose & Membership

Section 1.1 - Name

  1. The name of this organization shall be the Memorial University of Newfoundland Biology Society, hereafter referred to as BIOS.
  2. Should the name of Memorial University of Newfoundland be changed, the name in Section 1.1 (a) shall change to reflect this change.

Section 1.2 - Purpose

The objectives of BIOS shall be:

  1. To promote interest in all aspects of Biology, both social and academic.
  2. To act as a voice for the general population of Biology Students
  3. To promote a better standard for society as a whole (within the limit of the ability of BIOS)

Section 1.3 - Membership

Membership shall be open to:

  1. All interested students registered for instruction at Memorial University of Newfoundland.
  2. All interested faculty and staff of Memorial University of Newfoundland.
  3. Upon signing a membership list, a person shall be considered a member from September to August of each academic year.


Article 2. Organization

Section 2.1 - Executive Positions

The executive officers of BIOS shall be:

President, Vice President, Secretary, Social Representative, Sports Representative, Environmental Representative, Second Year Representative, Third Year Representative, Fourth Year Representative, Two (2) General Representatives, and Web-Page Coordinator.

Section 2.2 - Elections

  1. One weeks notice must be given before general elections are held. The executive will be elected during the winter semester of an academic year, during the last full week of classes.
  2. A person may nominate themselves for an executive position if they meet general member requirements. See Section 2.3 (a) and (b) for exceptions.
  3. Any member of the society can vote in an election.
  4. The votes are cast by secret ballot.

Section 2.3 - Executive Functions

  1. The President shall:
    1. Preside over all meetings.
    2. Represent BIOS in its relations with members and outside organization.
    3. Be responsible for the direction and integration of the actions of the executive.
    4. Be responsible for calling meetings of the executive and society.
    5. Be a member of all BIOS committees, if they exist.
    6. Review the financial record at least once a semester.
    7. Be responsible for the everyday running of the BIOS room.
    8. Be responsible for calling the election and ensuring BIOS continues to run in the following year.
    9. Play an intricate role in all BIOS events
    10. Be an accepted member of the Biology Faculty.
  2. The Vice-President shall:
    1. Assume the duties of President in his/her absence or at his/her request.
    2. Be responsible to the society and the Memorial University of Newfoundland Student Union (MUNSU) for the finances of BIOS.
    3. Account for all income and expenses in a permanent record, as they occur.
    4. Play an intricate role in all BIOS events.
    5. Be an accepted member of the Biology Faculty.
  3. The Secretary shall:
    1. Submit an annual report to BIOS executive.
    2. Keep members informed of events and activities.
    3. Take minutes of meetings and submit them to the executive at the following meeting.
    4. Play a role in keeping the society organized and efficient.
    5. Play an intricate role in all BIOS events.
  4. The Social Representative shall:
    1. Schedule social events including Mixers and Pub-Crawls as well as organizing special events such as Semi-Formals, in consultation with other members of the executive.
    2. Select bartenders and make sure they are licensed with the Centre for Student Life.
    3. Order supplies needed for Social Events.
    4. Play an intricate role in all BIOS events.
  5. The Sports Representative shall:
    1. Organize teams for intramural or inter-society sports events.
    2. Aid the Social Representative with activities which may be Sports related, such as Ski Trips.
    3. Play an intricate role in all BIOS events.
  6. The Environmental Representative shall:
    1. Organize related special events.
    2. Be responsible for BIOS recycling.
    3. Be aware of environmental issues surrounding Memorial University of Newfoundland as well as Newfoundland and Labrador.
    4. Heighten awareness of environmental issues.
    5. Play an intricate role in all BIOS events.
  7. The Second, Third, and Fourth Year Representatives shall:
    1. Communicate the activities of BIOS to their fellow students.
    2. Aid other executive members when required.
    3. Play an intricate role in all BIOS events.
  8. The General Representatives shall:
    1. Communicate the activities of BIOS to fellow students
    2. Aid other executive members when required.
    3. Play an intricate role in all BIOS events.
  9. The Web-Page Coordinator shall:
    1. Aid in construction of the web-page.
    2. Aid other members in updating the web-page.
    3. Maintain the web-page.
    4. Play an intricate role in all BIOS events.

Section 2.4 - Executive Expectations

  1. Any executive member seen as not performing their role effectively will be notified. If the behavior continues the member may be asked to resign if a majority of executive members agree. The final decision rests at the discretion of the President or Vice-President.
  2. Executive members will be expected to attend all BIOS meetings and most, if not all, BIOS events.
  3. In the event that a member is asked to resign a by-election may be held OR the members of the executive may appoint an active member of the biology society to fill the position.
  4. In order to appoint a new member to fill a position the executive must have support by 80% of the current executive.

Article 3. Meetings

Section 3.1 - General Meetings

  1. General meetings shall be held once a semester. These will consist of updates by the executive to the members. These meetings are open to all those mentioned in Section 1.3 and will be open to questions from members.

Section 3.2 - Executive Meetings

  1. The executive should meet at least once every two (2) weeks.
  2. The meetings should be led by and attended by the President and/or Vice-President as well as at least six (6) other executive members.

Article 4. Amendments

Section 4.1 - Conditions of Amendments

  1. Amendments to this constitution may be made only after being approved by at least ten (10) executive members.
  2. All amendments of this constitution must be ratified by the MUNSU.
  3. The MUNSU has the right to change amendments in regards to matters that apply to all clubs and societies. These changes shall be made known to BIOS when they are made.

Article 5. The Garry Cowan Award

Section 5.1 - The Award

In honor of a deceased Biology professor, Dr. Garry Cowan, BIOS will give an annual award to a deserving Biology student. This will be done in years the financial situation allows, and will consist of a one hundred (100) dollar scholarship.

Section 5.2 - Nomination Process

  1. Faculty will be asked to nominate a deserving student on the basis of hard work and involvement and not on academic standing, as well as specific criteria determined by the executive.
  2. Faculty may nominate one student per class which they have taught from the fall and winter semesters.
  3. The chosen student may not be an executive member of BIOS.
Section 5.3 - Selection of Student
  1. Faculty will submit student numbers only for the deserving student as well as the reasons for the nomination.
  2. The executive will determine the top three (3) students by examining all materials provided by faculty
  3. The three (3) students selected will be passed to the department head who will decide on a winner, providing the BIOS executive with the student number and corresponding name of the student, who will be notified by the BIOS executive
